Covid Verification of Vaccination and Testing

As RubyConf welcomes our community to in-person events, we continue to prioritize the safety of our participants and staff. COVID remains an ongoing concern and brings additional risks. Those risks present a barrier to access for people with disabilities, chronic illness, caregivers, people who are otherwise at high risk, and those who live with them.

We have partnered with SafeAccess to manage documentation of your vaccination status and covid test information. Prior to the conference, you will be receiving an email from no-reply@live.safeaccess.app with instructions on setting up your account in SafeAccess. Don't forget to check your spam!

At the Conference

To participate in the conference and obtain your entrance credentials, your vaccine documentation and a photo of a negative test result must be uploaded to SafeAccess.

Once SafeAccess accepts the documentation, you will receive email verification, and your account will display a green badge permitting access to RubyConf 2022. Show this green badge at registration to obtain your entrance credentials. Registration begins on Tuesday, November 29, at 8:00am at the Hilton Americas Houston Hotel.

Face Mask Reminder

All attendees and participants at RubyConf are required to wear face masks while indoors or when they cannot distance outdoors. Attendees and participants are asked to remove their masks only when eating and, when doing so, distance themselves from others by at least six feet. Appropriate masks include N95, KF94, and KN95 masks worn over the mouth and nose. We will also have extra masks available for everyone at the conference.

Vaccination Documentation

Once you set up your SafeAccess account, you will upload your proof of vaccination. You can screenshot an electronic form or take a photo of a CDC-issued vaccination card. The vaccination card or digital record of your vaccination includes your name, the type of vaccination provided, and the date that the last dose was administered. **For our trans attendees, we will consider chosen and legal names.

We are following the vaccination guidelines issued by the Centers for Disease Control and Prevention (CDC). An individual is fully vaccinated two weeks after their second dose in a two-dose series, such as the Pfizer or Moderna vaccines, or two weeks after a single-dose vaccine of the Johnson & Johnson vaccine. If you are arriving from outside the United States, proof of your country's approved vaccine should be uploaded. If you are eligible, we highly encourage obtaining a booster vaccine dose.

Please upload your proof of vaccination as soon as you receive your email from SafeAccess and set up your account.

Covid Test Documentation

We require that you produce the results of a negative Covid-19 test taken in the 24 hours before your first conference event.

Acceptable tests must have US FDA emergency use authorization (or your country's equivalent) and include: • At Home Rapid Antigen tests • Molecular, CUE, PCR, Rapid PCR Acceptable proof consists of a photo of the negative test result.

If you contract Covid-19 after November 23, 2022, you will be unable to join us in person for the conference. If you contract Covid-19 between November 18, 2022 and November 23, 2022, please see the CDC guidelines to determine whether you are able to attend the conference. You can receive a refund for your RubyConf conference registration by requesting a refund on Eventbrite. And, we welcome you to sign up for RubyConf 2023: Home Edition.
